Author Guidelines

To submit a manuscript, you must first register as a user on the site. This can be done by Registering. 

  • If you had an account on the previous e-book platform for Aarhus University (AU Library Scholarly Publishing Services / ebooks.au.dk), you can use the same login on this site. If that login does not work, your account has been deleted due to inactivity.
  • If you already have an account but cannot make a new submission, you need to log in and edit your user profile to obtain the role of 'Author' at Aarhus University. This can be done by clicking on 'Edit Profile' and then going to 'Roles.'
  • If you already have an account with another publisher/institution on Open Books, you cannot create a new account but must instead log in and edit your user profile to obtain the role of 'Author' at Aarhus University. This can be done by clicking on 'Edit Profile' and then going to 'Roles.' 

Once you are logged in, you can submit your manuscript. You will be guided through various steps where you need to provide information about your submission, contributors, and upload the file(s) with your manuscript. If you need help, you can refer to our user guides. 

To have your manuscript published by Aarhus University on Open Books, you must be employed at Aarhus University, or the manuscript must have been created in connection with a previous employment at Aarhus University. 

Authors are responsible for obtaining permission prior to submission to publish any material included in the submission, such as pictures, graphs, documents, or datasets. 

All authors listed as contributors on the submission must agree to be identified as authors. You need to ensure this before submitting your manuscript. 

Submission Preparation Checklist

When you upload material to Open Books, you must accept the following terms: 

General Information about the Platform 

  • Open Books is operated and maintained by The Royal Danish Library.
  • The platform is provided free of charge for researchers and staff at Aarhus University.
  • It is a user-driven platform – The Royal Danish Library is not responsible for the content that is uploaded. 

Access and Rights 

  • All material you upload will be publicly available (Open Access).
  • You retain the copyright to your material.
  • You can request to have the material removed. However, metadata and summaries will remain published on the platform, along with information about when and why the material was removed.
  • You may only upload material for which you hold the copyright – or for which you have received permission from the copyright holder.
  • It is your responsibility to ensure that the material does not infringe on third-party rights, legislation, or agreements. 

Publication and Further Use 

  • Uploads must not violate other agreements, such as publishing agreements.
  • Please be aware that some publishers will not publish material that has previously been published, e.g., on this platform.
  • You are responsible for ensuring that the cover of the material or the layout of the material complies with any requirements from Aarhus University or your institute/faculty/department.
  • Aarhus University is responsible for assessing whether a submitted manuscript should be published or rejected. 

Technical Operation and Metadata 

  • The Royal Danish Library provides the platform, and maintains it technically.
  • Metadata (e.g., the title of the material, author(s), summary) may be made searchable and shared with search engines and databases. 

Removal or Transfer of Content 

  • The Royal Danish Library reserves the right to remove material without notice, e.g., in case of technical issues, copyright disputes, or suspicion of violation of applicable law.
  • If your material is removed, we will attempt to contact you via the email address you provided.
  • If your material is removed and you wish to appeal this decision, you can contact us by email at openbooks@kb.dk.
  • The Royal Danish Library may also transfer the material to another platform if necessary. In that case, the material's DOI will be preserved. 

Other Matters 

  • There is currently no fixed limit on file size, but this may change.
  • It is your responsibility to stay updated on the applicable terms on the platform.
  • In the event of any disputes, Danish law will apply. 

If you need assistance or have any doubts, we recommend that you contact Aarhus University’s support before uploading. 

Privacy Statement

The names and email addresses entered in this website will be used exclusively for the stated purposes and will not be made available for any other purpose or to any other party. 

User information is retained as long as the user is active. If the user has not been active for a year, the user will be contacted via email. If the user does not respond to this email, the user account and their information will be deleted after 1 month. However, if the user has participated in editorial tasks for one or more Publishers on Open Books (e.g., as an Press Editor, Series editor, or Reviewer) or has submitted an article to a publisher on Open Books, the user information will be retained for 3 years after the last completed editorial task or submission.
